Overview:

Vehcam provide and install vehicle systems that enable cameras, warning sensors and other electronic components to be installed into and onto vehicles. These vehicles include vans, trucks, forklift trucks and many other types of vehicle. Vehcam systems are able to show images that can be viewed live from within the drivers cab on a monitor, and/or from alternative premises via uploading using wifi/4G onto the Vehcam platform. Vehcam can provide viewing, reviewing and monitoring services for all images captured, reporting to customers any incidents/events that may be of interest in relation to safety or security. In addition, Vehcam maintain and repair/replace systems and components installed, including 3rd party systems already fitted within customer vehicles. Vehcam own the IP (Intellectual Property) to the web platform software used, making it a ‘stand-alone’ company, able to function independently.

The continued design and development of exclusive hardware is an additional element that pushes Vehcam ahead of the competition in the market.

Requirements:

We are looking to source specialist digital marketing advice & support to:

• Create an instructional video to enable our clients to maximise the features within our platform and to provide them with the autonomy to manage their own data
• Create a sales video that will enable us to demonstrate the benefits and functionality of our platforms to potential clients
• Liaise with our web developer to ensure a clear and accurate understanding of the functionality of our online platform.

We are looking for a company who can fulfil the above requirements and who can support and guide us on the delivery of the above to our existing and potential clients. We have an existing contractor building our website which includes the integration of our platform and therefore no intervention will be required for this element.

The successful bid will be awarded to the company that can demonstrate:

• A portfolio of similar works carried out
• An understanding of the varying capabilities of those utilising instructional videos

We are intending to award the contract in January 2021.

Deliverable Timescale:

Project to commence January 2021.

Evaluation Criteria:

Quotations will be evaluated upon the following criteria:

• Cost (30%)
• Understanding of the brief/clarity of quotation (30%)
• Demonstrable skills and understanding of the industry sector (20%)
• Delivery timescales (10%)
• Ease of communication (10%)

Scoring Methodology

4 Excellent – Proposal meets and in some places, exceeds the required standard
3 Good – Proposal meets required standard
2 Acceptable – Proposal meets the required standard in most respects, but is lacking or inconsistent in others
1 Poor – Proposal falls short of expected standard
0 Unacceptable – Completely or significantly fails to meet required standard or does not provide the relevant answer

Proposal Format:

Proposals should clearly demonstrate how they meet the requirement set out above.

ERDF Indicative Budget

This work will be part funded though the European Regional Development Fund.  The project falls within the *£2,500 – £24,999 bracket and therefore, under current Public Procurement Regulations, there is no formal tender procedure, but a detailed written quotation is required.

(*NB this figure is the ERDF regulations figure. IT IS NOT THE BUDGET FOR THIS PROJECT)

Please be aware that due to the relatively low indicative budget for this work (i.e. less than the current OJEU limits) there is no regulatory obligation for us to provide feedback if you are unsuccessful.

We reserve the right to discontinue this tender process at any time and not award a contract.

You will not be entitled to claim from us any costs or expenses which you may incur in preparing and/or submitting your Tender at any stage of this exercises.  This applies whether or not your organisation is successful.
