Requirement
The requirement is to create a production planning and scheduling system to simplify and speed up the current process, remove double/triple entry of data into spreadsheets, and standardise the process to facilitate the training of new operatives. The new system must provide better management information via reports including a valuation
of stock and work in progress.
Specification – A client server database using ms access. Data to be installed on the server, and the front end on each PC. The whole system to be available from any PC or laptop/mobile devices on the network.
Set up to allow goods to be recorded and included in schedules that are purchased and to be marked as “made” when delivered.
Each component of an order to have a status at each stage – set to: –
“New”
“Scheduled”
“Rub-down”
“Dye/Dry”
“Complete”
“Dispatched”
The component/machines table to ensure components cannot be scheduled for a machine they cannot be used with.
Incoming orders to be input and reported on by date required.
Tables
Customers Details of clients (possibly import from Sage Line 50)
Orders Details of orders Incoming via text/email/phone etc
Products Details of products using internal and customer names
Components Details of products using internal names
Machines Details of machines in operation
Production History Main file showing all work with status, at component level
Operators Machine operatives with skill set
Users Computer operatives with access rights
Change control Details of enhancement and changes to the system
Component/machines x-ref showing which items can be built on which machines
Data Migration
Populate the look up tables of products and components from the data Sage which can be exported to spreadsheets.
Forms and queries
A switchboard menu with change control
A wallboard screen which shows all orders with their current schedule (which machine they are on, who is working on them, quantity completed, etc )
An input form/subform for adding new orders
A form to schedule/reschedule a component to a machine
Add/edit a component (inc which machines can make it subform)
Add/edit an operative
Add/edit a machine
Add/edit a product (inc photos) – with subform for components
Add/edit a customer details
Add/edit computer users audit and rights table
Reports
Schedule for the day (any date chosen) showing all machines and all work planned
Daily Machine instruction sheet (for any machine on any supplied date)
Order components by status
(for chosen order or all orders)
(for complete, wip, not started or show all)
Management Information:
work done by operative between dates
Work done by machine between dates
Work done by product between dates
Free search of historical work – By customer, order number, product
Label creator (with order detail and barcode if required)
Deliverable Timescale (approximate)
Start Date – March 2017
End Date – April 2017
Indicative Budget – £7,000-£8,000
Evaluation Criteria
Quotations will be assessed and scored on the following criteria:

Can the supplier meet the timescales/deadline?

Proposal Format – Proposals should clearly demonstrate how they meet the requirement set out above.
