Overview

Sandon Global are an independent family owned company formed in 2004, registered in Runcorn in Cheshire.  Sandon manufacture and refurbish Anilox rollers, sleeves and gravure cylinders, which are highly precise parts used in industrial flexographic printing.  Production takes place at our specialised engineering facility in Manor Park, Runcorn, from where Sandon supply to the UK and more than 60 countries worldwide.

Sandon currently employ 70 office and production staff at their headquarters in Runcorn and have a location-based Sales team in the UK, supplemented by 37 Agents and Distributors worldwide.  In addition, owning an engineering company based near Morecambe, employing 6 staff.

Sandon have ambitious growth plans, so to support the expanding business and expected increased turnover, the Management Team are looking to implement a new fully integrated IT infrastructure.  This may cover all elements of Data Processing activity, inclusive of a Commercial Package, Manufacturing Modules and Finance.

Requirements:

Sandon Global are looking for a consultancy firm to assist in the selection and specification of a new Business Management System to replace all of the current IT software with a new fully integrated system adding missing functionality, such as CRM and Production Planning.

The successful agency will help us analyse our existing systems and processes and help us to develop a request for tender for potential suppliers and ultimately support the selection process, including, but not limited to, the following:

Identify the needs for the business in terms of must-have / desirable functions of an IT platform to manage this flow of information omitting room for error or duplication of tasks and entry.

Develop a scope of works and a scoring platform then review the submission of tenders for an ERP system.

Key criteria to support development of a cost-controlled, “fit for purpose” ERP system that reflects the current information management needs of the business and has scale-ability to grow with the business.

Following the issue of the RFT the successful agency will further support with the selection process, creation of a shortlist and final selection of the supplier.

Once the final selection has been made, the successful agency will assist alongside the chosen software house in the implementation phase of the project.

Deliverable Timeline

We are planning to start the project at the beginning of April, with the intention of completing the project by the end of July.

Estimated Budget

We anticipate our budget for this project to be between £13,000 to £18,000.

Budgets have been set aside for this project and we are pursuing funding support. This work will be part funded though the European Regional Development Fund.  The project falls within the £2,500 – £24,999 bracket and therefore, under current Public Procurement Regulations, there is no formal tender procedure but a detailed written quotation is required.

We would be grateful if interested partners could submit a written proposal and quotation, explaining how they would approach this project, provide examples of past and relevant experience and give details of how confident they can deliver the expectations outlined above.

Evaluation Criteria

Potential partners will be evaluated upon the following criteria:

Clear demonstration of relevant experience and past success in detailing business process or developing clear concise software requirements for the scoping and implementation of an ERP system. 25%

Proven ability to build trust, connect with, and where appropriate challenge leaders and leadership teams in this arena. 20%

Understanding of brief and clarity of quotation 25%

Delivery timescales 15%

Cost 15%

Scoring methodology

4 = Excellent – roposal meets (and in some areas) exceeds the requirement standard

3 = Good – Proposal meets required standard

2 = Acceptable – Proposal meets the required standard in most respects but not all.

1 = Poor – Proposal falls short of expected standard

0 = Unacceptable

Proposals should clearly demonstrate how the prospective partner is able to deliver the project goals and fulfil the requirements as set out above.
